Basic Function:Responsible for managing administrative tasks for Senior Vice President by prioritizing works, schedules and needs and coordinate between ASD Projects and Inter-departments at HO.

Responsibility and Authority:

  • Provide secretarial and administrative support to superior
  • Maintain general office files, including job files, vendor files, and other files related to the company’s operations.
  • Coordinate between Head Office VP Office and ASD Project on routine and specific needs.
  • Provide administrative support to ASD Projects
  • Ensure employee actions are properly handled.
  • Follow, monitor and update employee related actions
  • Memo/mail and document control and distribution
  • Vacation/Exit coordination and issuing related reports.
  • Filing and retrieving corporate records, documents, and reports.
  • Making travel arrangements for executives at their request
  • Subject matter expert on the policies & procedures related to the department.
  • Preparing and processing payroll and maintaining accurate records of payroll documentation and transactions.
  • Key point of contact for logistics of importing goods for various projects and ensure that all regularities requirements are adhered to.
  • Accountable of making sure that all the labor and immigration requirements for the projects for all staff are adhered to.
  • Accountable of making sure that all projects’ payments meet all internal requirements before submission to the relative departments.
  • Performing other relevant duties as directed by superior

Requirements:

  • Minimum 2 years of proven experience as an Administrative Specialist or other related administrative support function
  • In-depth understanding of entire MS Office suite.
  • College degree, preferably in Business Administration
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional level verbal and written communications skills.
