Oversees and coordinates the day-to-day activities of the shared services staff, to include management and training, scheduling and prioritizing work assignments. Gather regular reports from all shared services teams, evaluate them, monitor and report KPIs, organize update meetings, and follow up on action items. Assigned as secretary of three internal committees by margining the full cycle of meeting, create report& present them and follow up on the decision made on a weekly basis. Collaborate with employees and HR team to develop and implement the onboarding, orientation, and training process. Provide direct administrative supports, including scheduling appointments, meetings, and events, booking travel, maintaining filing system, and updating contact database and employee list. Arrange interviews by coordinating schedules and escorting candidates. Prepare HR documents, such as employee files, job interviews, and training requests. Generate and process administration documents for candidates selected for hire in shared services division. Review and follow up the service level performance of Shared Services to ensure implementing and closing all gaps. Receives, screens, evaluates, and determines appropriate response to all written correspondence received and formulates and disseminates written responses. Uses software for functional area, to compile and generate reports, timelines, tables, graphs, correspondence and presentations.
• Implement the day-to-day operations assigned for the HR Department to ensure compliance with the established standards and procedures.
• Employees’ attendance and vacations (Annual leave, sick leave, emergency leave, and others).
• Coordination between all projects for all the HR & Services requirements.
• Create and update records and databases with personnel, financial and other data.
• Provide insight, first-line support for all routine employee inquiries, and explanations on HR system and administrative activities in support of HR processes.
