الوصف الوظيفي

- Receives all relevant location documentation and ensures the technical documents are stored properly and creates efficient data storage/filing systems.- Develops and maintains an up to date efficient systems.- Provide support to project engineering management team with regard to technical document management, bulk uploading and downloading of technical documents in the company using interface applications program.- Conduct orientations for the functionality of in the Company and train the new staff for its usage.- Supervises data entry of technical documents in the company and ensure the correct revision and location of documents into their designated electronic folders.- Carry out quality checks on incoming and outgoing documents before uploading in the system and track receipt, distribution and review of engineering and vendor documents.- Ensures that all aspects of documents are effectively controlled and categorized i.e. design documentations, communications and non-technical documentations, quality records, publications, etc.- Ensure safekeeping and maintenance of technical records and master documents (hard copies) stored in Technical Services Library. Control the flow of technical library documents and file in a systematic order for easy retrieval using database logging registration.- Provide proper document numbering for all document produced by Technical Services. Changes on documents should be reflected and updated the relevant documents as required in archives.- Corresponds with the required personnel (Division, Consultants and Contractors) for receipt of outstanding documents and follow-up and prepares documents status reports periodically.- Produces copies of distribution as required. Organizes distribution of final project documents after compilation.- Ensures and follows up the implementation of the Quality Management System issued by in the Company’s Management.- Interfaces with all disciplines to ensure that the requirement of the documents/drawings for projects and operations are properly handled and their outstanding and pending issues are resolved in timely manner.- Attends routine Projects/Operations/Office meetings and carry out all necessary action on documents and drawings issues.- Complies with in the Company’s policies and procedures in all areas impacting the business, including HSE, operational commercial, financial, administrative and HR practices. Demonstrates zero tolerance to divergence. Highlights and request correction, where necessary.- Adheres to the legislative requirements of all countries where the Company project operates. Maintains the highest ethical standards in dealing with all persons. Preserves loyalty by working for the exclusive benefit of the company throughout the duration of the assignment. - Supports the rest of the team and proposes alternative course of action, wherever possible to facilitate efficient project progress. Participates in regular meetings to keep abreast with all issues relating to the company’s Project. Discusses and reviews opportunities for the optimization of assigned work programmers.- Handles confidential documents strictly observing necessary controls/access restrictions.- Conduct oneself in a QHSE responsible manner at all times and follow the Company’s QHSE Policies, Procedures & Guidelines.- Reports all incidents or near misses to the supervisor or to QHSE Department if the supervisor is unavailable.- Participate in the Company’s QHSE promotional programs.- Conducts all works activities in a safe and environmentally responsible manner by not taking on any task(s) that are perceived as unsafe and if in doubt, consults supervisor/manager before proceeding.- Perform Technical Assistant duties as and when assigned by the Supervisor- All personnel are required to ensure that quality is maintained and that they are responsible for the H&S of themselves and others. All personnel are also to be responsible to ensure no contamination of the environment etc.
