Job Description

Policies, Processes & Procedures

§ Follows all relevant departmental policies, processes, standard operating procedures and instructions so that work is carried out in a controlled and consistent manner

Day- to-day operations

§ Follows the day-to-day operations related to Reservations to ensure continuity of work and to ensure compliance with the established standards and procedures

Reservations

§ Maintains an effective reservation and allotment system, with specific responsibility for the correct inputting of allotments and taking of reservations and special requirements

§ Logs in and processes all reservations received from the Sales team to send confirmations to guests and to clients

§ Checks daily reservations to ensure that all guest details are accurate and that any special requests are communicated to the relevant departments

§ Reconfirms bookings, ensures that correct rooming lists are received, and checks arrival times, rates and all other information on group and individual bookings

§ Inputs all invoices in the system and keeps track of payments to submit proof to the Finance department where payments are processed

§ Processes cancellations, revisions, and updated information of changes.

§ Communicates to the sales team, or to the Reservations Manager, as appropriate, any new sales leads or issues with current bookings

Safety, Quality & Environment

§ Complies with all relevant safety, quality and environmental management policies, procedures and controls to ensure a healthy and safe work environment

§ Performs other related duties or assignments as directed

6. QUALIFICATIONS, EXPERIENCE & SKILLS:

Minimum Qualifications:

§ School degree

Minimum Experience:

§ 0-2 years relevant experience in reservations and sales

Skills:

§ English Language - Intermediate

§ Knowledge of Policy & Procedure - Intermediate

§ Time Management - Basic

§ Business Skills & Understanding - Basic

§ Financial Awareness - Intermediate

§ Data Gathering & Analysis - Intermediate

§ Negotiation - Basic

§ Information Technology - Intermediate

§ Performance Management – Basic

§ Presentation – Basic

§ Project Management – Basic

§ Written Communication – Intermediate
