• Coordinate with all concern for the preparation of Departmental Budgets (GPSSD, CHAD & Administration Depts.). • Handling & close monitoring of Dept. Expenses and provide the management with related reports. • Preparation of Purchase Orders. • Preparation of PAA & DAA’s. • Monitoring & handling of all telephone, data, leased line invoices (around 700 nos. Kingdom-wide). • Monitoring hospitality consumables & coordinate with the concern for obtaining / tracking purchase requests (Kingdom-wide). • Provide the required assistant / coordinates with GPSSD representatives – Kingdom-wide. • Monitor & coordinate with the concern in obtaining stationery purchase requests (OFC H.Q.). • Handling of news papers annual subscriptions for OFC Executives. • Helping BIS on PABX Telephone billing software issues & extensions invoicing (OFC H.Q.). • Maintaining / updating databases of all operating companies’ commercial leases (Kingdom-wide). • Extending administrative support to Dept. Heads & Senior Executive • Development and update of tenants database and provide the management with necessary reports of tenant’s occupancy, & preparation of rental Invoices against OSHCO, OFC & ORECO properties (kingdom-wide). • Follow up / tracking of rental recoveries and preparing related reports for the management (Kingdom-wide). • Reconciliation of monthly bank statements against rental deposits. • Preparation of Lease Agreements (English versions only). • Providing of rental income reports to Finance Dept., and to reconcile with Finance Dept. books and to prepare forecasts. Central Housing Services: • Prepare records / update database and provide the management with the necessary reports of Bachelor’s Housing Occupancy (Kingdom-wide). • Tracking of rental charges to Operating Companies against their employees stay in the accommodations – monthly basis (Kingdom-wide). • Handling Senior Executives residential lease agreements and processing the rental payment requests. • Handling cargo services for senior management during their expatriation / repatriation. • Providing of rental income reports to Finance Dept., reconciling with Finance Dept. books and to prepare forecasts.
